Terms & Conditions
By booking or participating in a tour and any related products or services (a “Tour”) with Alpaca Expeditions (“AE” or the “Tour Operator”), you (“you”) agree to these Terms & Conditions (the “Terms”).
BOOKING
- Your booking is confirmed and a contract is established once the Tour Operator, or your authorized travel agent, provides written confirmation after receiving the required deposit. Please review your booking confirmation carefully and immediately notify the Tour Operator or authorized agent if any information is incorrect or incomplete. All passenger names must match the names shown on the corresponding passports.
- A deposit is required to secure your booking. All deposits are completely non-refundable under any circumstances, with no exceptions.
- To enter the Inca Trail, you must present the original passport used when making your reservation. Copies are not accepted at the official checkpoint. If you booked using a passport that has since expired or been renewed, you must travel with both your previous passport and your new valid passport. Failure to provide the required documents may result in entry to the Inca Trail being denied.
- The only identification accepted for a Student Discount is a valid University Student Card displaying a clear expiration date for the same year in which the trek takes place. Student cards showing an expiration date for the following year may not be accepted by the Peruvian authorities, even if the card is otherwise valid. A copy of the student card must be submitted at the time of booking.
CANCELLATIONS
- Your deposit is 100% non-refundable. If you cancel your reservation for any reason, additional cancellation charges may apply depending on how close the cancellation is to your scheduled tour departure date.
There are no exceptions to this policy, including cancellations related to medical circumstances or supported by medical documentation, because many of the expenses paid by Alpaca Expeditions on your behalf are themselves non-refundable.
ONCE A RESERVATION HAS BEEN CONFIRMED, THE DEPOSIT IS NON-REFUNDABLE. THE FOLLOWING CANCELLATION FEES APPLY IN ADDITION TO THE DEPOSIT:

INCA TRAIL TOURS
- Permits: Inca Trail permits are issued under the name of each individual traveler and cannot be transferred to another person under any circumstances. Once a permit has been purchased, the travel date cannot be changed. Permits are both non-refundable and non-transferable, and the corresponding deposit will therefore be forfeited in the event of cancellation.
These conditions are established by the Peruvian government and are not policies created by Alpaca Expeditions or any individual travel agency.
- In exceptional circumstances where the Inca Trail to Machu Picchu is officially closed for safety reasons, Alpaca Expeditions will replace the scheduled trek with an appropriate alternative trek.
- Travelers whose Inca Trail permits were purchased using a Student ID must carry the same valid Student ID with them during the trek. If the required identification cannot be presented to the Park Rangers at the checkpoint, entry to the Inca Trail may be denied.
MEDICAL INFORMATION
- You must inform Alpaca Expeditions of any relevant medical conditions, health concerns, or allergies before participating in your tour. Travelers are expected to be in suitable physical condition for the activities included in their itinerary. If you have any concerns regarding your health or ability to participate, you should consult a qualified medical professional before traveling.
Travelers over 70 years of age are required to provide a current medical certificate confirming that they are in good health and fit to participate.
- It is your responsibility to determine whether a Tour and its activities are suitable for your individual circumstances. We strongly recommend consulting your physician regarding your fitness for travel, participation in trekking or other activities, vaccinations, and any necessary medical precautions.
Alpaca Expeditions does not provide medical advice. Each traveler is responsible for evaluating the risks and physical requirements associated with the Tour according to their health, fitness level, limitations, and individual medical requirements.
- Alpaca Expeditions reserves the right to deny or discontinue a traveler’s participation in any part of a Tour when the Tour Operator reasonably determines that the traveler’s physical or mental condition makes participation unsafe or may represent a risk to the traveler, other participants, staff, or third parties. Any resulting expenses will be the responsibility of the traveler.
- Pregnancy is considered a medical condition for the purposes of these Terms and must be disclosed to the Tour Operator when making the booking. Alpaca Expeditions may decline participation for travelers who are more than 24 weeks pregnant.
The Tour Operator may also refuse participation where a particular medical condition cannot reasonably be accommodated or where a suitable alternative arrangement cannot be provided.
- We strongly recommend that all travelers purchase comprehensive Travel Insurance covering medical emergencies, trip interruptions, cancellations, and other unexpected circumstances that may affect their journey.
TOURS AND TREKS
- All tours are conducted in English.
- Any outstanding balance must be paid in full before the pre-tour briefing, which normally takes place the evening before your tour begins. Payment may be made in cash, by Visa debit or credit card, or through PayPal. Visa payments are subject to a 5% service fee. Payments using other cards must be processed through PayPal and are subject to a 5.5% service fee.
- If you wish to leave the group or the designated camping area for an independent walk, visit, or sightseeing activity, you must first inform your guide. If you experience any problem with your guide or any service provided during the Tour, please notify your guide as soon as possible so that the issue can be addressed while the Tour is taking place.
- All Adventure Treks include transportation back to Cusco. The specific return train service and route will depend on train availability.
- If you become ill or injured during the trek and are unable to continue, a porter will be assigned to accompany you to an area where emergency assistance can be accessed.
Any helicopter evacuation, medical treatment, transportation, or related assistance required as a result of illness or injury will be at the traveler’s own expense.
If illness prevents you from completing the trek, Alpaca Expeditions will make reasonable efforts to help you rejoin your group at Machu Picchu and continue the remaining portion of your itinerary where possible. No refund will be provided for services or portions of the original Tour that could not be completed.
Where appropriate, Alpaca Expeditions can provide documentation confirming the circumstances of the illness for presentation to your travel insurance provider.
- Alpaca Expeditions will take reasonable measures to protect its travelers and reduce the risk of accidents, illness, and loss of personal property. We employ appropriately qualified personnel and accept responsibility for the actions of our own employees while carrying out their professional duties.
However, Alpaca Expeditions cannot accept responsibility for the actions or omissions of independent third parties. Travelers remain responsible for their own personal belongings and for any equipment rented or provided to them.
- Alpaca Expeditions cannot be held responsible for circumstances outside its reasonable control, including unfavorable weather, natural disasters, strikes, accidents, illness, injury, loss of personal belongings, or similar unforeseen events.
Travelers are responsible for obtaining adequate travel insurance covering these circumstances. Alpaca Expeditions reserves the right to modify, reschedule, substitute, or cancel part of an itinerary when unforeseen circumstances make such changes necessary.
- Alpaca Expeditions may make reasonable changes to the itinerary whenever operational, logistical, safety, weather, regulatory, or other circumstances require them.
- Group tours may include up to 16 participants. Our group departures are open to travelers of different ages, backgrounds, abilities, and experience levels. By booking a Group Tour, you acknowledge that the pace and timing of the itinerary may be influenced by the needs and abilities of other members of the group.
